How to Track Freelance Income and Expenses

Use a repeatable workflow from billing to recorded income and expenses. Keep invoice status and financial transactions aligned without treating one as a substitute for the other.

Explore Track Freelance Income and Business Expenses for the product workflow.

1. Create an invoice with clear terms

Save the client and company details, describe the work, and review rates, taxes, dates and payment instructions. Download the PDF and deliver it through your usual channel, or use optional recurring email for scheduled billing.

2. Confirm payment and update status

Check your bank or provider records, find the invoice in Documents and mark it paid. Status updates are manual; overdue status helps identify invoices past their due date but is not a payment-detection feed.

3. Record an income transaction separately

Marking an invoice paid does not create an income transaction. Add income with the actual transaction date, amount, currency and category. Choose a financial account and optionally link the invoice. Use a reference or notes to help explain the record later.

4. Categorize business expenses

Enter expenses with the transaction date, amount, currency and category. Add vendor and reference information when useful. Use consistent categories and review entries regularly; the application does not import bank transactions or perform automatic reconciliation.

5. Review one period and currency

Check income, expenses and net amount in the overview. Review currencies separately because the application does not perform exchange conversion. Keep your source records so you can check errors or ask an accountant about the treatment of a transaction.

6. Export the report you need

Use profit and loss for category totals, income and expenses for period trends, or expenses by category for spending shares. Select a period and currency, then export PDF or CSV. Reports reflect entered transactions and available plan history, not a complete double-entry accounting system or a tax filing.
